Confidential Global Biotech Annual Meeting — TWA Hotel at JFK Airport
One of five interconnected worldwide sites, engineered for live handoffs, cross-site interaction, and an overnight New York production build with no technical day.
The production challenge
Build a global-conference site overnight — and make it behave like one room.
The New York event was one of five interconnected sites in an annual global meeting for a confidential global biotech company. Unlike the other locations, the TWA Hotel site did not have a technical day before show day.
Trucks arrived at the loading dock at midnight. The site had to be fully built, tested, integrated into the global conference system, and show-ready by 5:30 AM.
The execution was the result of months of technical planning, multiple site visits, equipment staging, detailed sequencing, and rotating crews designed around the compressed overnight production window.
Global interaction
Live handoffs between five locations.
The five sites were not independent broadcasts. They were interconnected and interactive, with multiple channels of intercom, video, and audio supporting live handoffs between locations.
That communications architecture allowed each site to present to, interact with, and respond to the others as part of one coordinated global program.
Overnight execution
Five and a half hours from dock arrival to show-ready.

Audio design
Discreet audio, clear sightlines.
The audio system was designed to cover the room without visually competing with the clean stage and backdrop. Rather than placing large loudspeakers where they would interrupt the sightlines, Jx2 distributed the system around the architecture and production truss.
Fulcrum Acoustic RX Series loudspeakers were used as discreet front fills, while LD Systems CURV 500 Series loudspeakers served as the primary flown system. The CURV arrays were placed strategically on the truss to provide overhead coverage while preserving the visual design.

Front Fill
Fulcrum Acoustic RX Series loudspeakers provided compact, discreet coverage close to the stage.
Flown Mains
LD Systems CURV 500 Series arrays were flown from the production truss in strategic positions for overhead room coverage.
Production planning
Months of preparation for one compressed night.
Multiple site visits
The venue and production plan were reviewed repeatedly in advance so access, placement, infrastructure, and timing could be resolved before the overnight build.
Staged equipment
Equipment and workflow were staged around the overnight sequence so departments could build efficiently inside the restricted window.
Rotating crews
Crew rotation and sequencing were part of the plan, allowing the site to progress from dock arrival through system testing to show-ready status before dawn.
