Can Jx2 work at a hotel or convention center that already has in-house AV? Often, yes—subject to the property’s rules and your venue contract.

Many hotels and convention centers allow outside audiovisual or event-production companies, while retaining control of specific building services or requiring particular approvals, labor, insurance or fees.

Jx2 does not treat the venue or its in-house provider as the enemy. We work with them.

Depending on the event and property, the final production plan may combine Jx2 services with venue-controlled rigging, power, internet, installed systems, labor or locally sourced equipment. The objective is not to duplicate what the venue must provide. It is to give the client a coordinated production plan and a team focused on the event as a whole.

One production point of contact

Multiple technical disciplines. One coordinated event.

A major hotel conference can involve far more than microphones and screens.

The production may include general-session audio, breakout-room AV, presentation systems, cameras and IMAG, LED video, projection, playback and graphics, recording, streaming, stage lighting, scenic, drape, staging, rigging, rehearsals, show calling, cueing, content coordination, venue-system interfaces, production schedules and load-in/strike.

Jx2 can support one technical department or coordinate multiple departments as one production team.

That gives the meeting planner a production partner responsible for connecting the technical pieces instead of treating every system as a separate transaction.

Venue collaboration

We coordinate with the house—not around it.

Hotels and convention centers are complex operating environments.

The venue has legitimate responsibilities for the building, safety, access, labor, infrastructure and other events happening around yours. The production company has responsibility for understanding what the show requires and turning that into an executable technical plan.

Those responsibilities have to meet somewhere.

Jx2 can coordinate directly with venue and in-house teams, as authorized by the client, on technical requirements, room layouts, production schedules, load-in and load-out, rehearsal windows, rigging, electrical power, internet and networking, installed audio or video systems, house displays, local labor, local equipment rentals, production-related pricing discussions, setup timing and billing coordination.

Where venue-controlled services bill the client directly, the client reviews and approves those charges under the applicable agreement. Jx2 keeps the production requirements coordinated.

Venue-controlled services

What the venue may still control.

A strong production plan starts by identifying the boundary between the event-production company and the property.

Rigging

The venue may control ceiling attachment, house riggers, inspections, point access, engineering review or certain labor.

Power

The property may control electrical service, company switches, tie-ins, electricians or power-distribution access.

Internet

The venue may provide wired connections, dedicated bandwidth, wireless networks, custom SSIDs or other connectivity.

Installed Systems

Ballroom speakers, screens, displays, scoreboards, broadcast infrastructure or other installed systems may require permission, fees or house technicians.

Labor & Supervision

Some venues may require house labor, union labor, shadow labor, security, dock supervision or other staffing.

Loading & Access

Loading docks, freight elevators, storage, parking and room-access windows can be venue-controlled and directly affect the production schedule.

Jx2 can build these requirements into the production plan instead of discovering them during load-in.

Practical sourcing

Sometimes the smartest choice is to buy a service from the house.

Using an independent production company does not mean every cable, technician or piece of equipment has to arrive on a Jx2 truck.

There are events where a venue-controlled service is mandatory. There are also events where using a local or in-house resource is simply the more practical decision.

For example, it may make more sense to use venue rigging, venue power, venue internet, installed room systems, required house labor, locally available equipment or an item already onsite.

Jx2 can remain the client’s production point of contact while incorporating those resources into the larger show plan.

That is production management—not vendor turf protection.

Plan before assumptions are locked

Bring production into the venue conversation early.

The best time to discover a hotel production constraint is before it becomes an expensive problem.

For production-heavy events, Jx2 can help evaluate questions such as:

  • Is outside production allowed?
  • Which services are exclusive or venue-controlled?
  • What outside-vendor documentation is required?
  • What are the room dimensions and ceiling heights?
  • Where are the rigging points?
  • What power is available?
  • What internet can be ordered?
  • How do we access installed systems?
  • What is the loading path?
  • When is the room actually available?
  • When can rehearsal begin?
  • What time must strike be complete?
  • Are there required technicians or labor?
  • Are there venue fees that belong in the production budget?

You do not need a final show design to ask these questions. You do need enough production representation to avoid making venue assumptions that later constrain the event.

Total landed production value

Compare the whole production—not just the equipment list.

A hotel AV quote and an independent production proposal can be difficult to compare line by line because the underlying scope may be different.

Do not stop at: “How much is the projector?”

Compare equipment, setup and strike labor, show labor, overtime assumptions, project management, technical direction, rehearsal, show calling, content support, graphics and playback, cameras and recording, backup systems, venue coordination, rigging, power, internet, local or house charges, freight or trucking, room access and total landed production cost.

The goal is a like-for-like comparison of what it takes to deliver the event—not simply the lowest price on an individual rental item.

Why involve Jx2 early?

The earlier we understand the event, the more useful we can be.

Bring us the venue or candidate venues, dates, audience size, agenda, room list, stage requirements, presentation requirements, camera or streaming needs, creative direction, existing venue documents, budget range and prior-year production information.

We can help turn that information into a practical production scope and identify the venue questions that need answers.
